About the role

We are seeking a highly organized and detail-oriented Front Office Administrator/Administrative Assistant to join our team. The ideal candidate will play a crucial role in maintaining the smooth operation of our office by handling various administrative tasks, supporting all staff, and ensuring the smooth operation of our office. The ideal candidate will possess excellent communication and interpersonal skills, as well as the ability to multitask. Office Administrator will be responsible for overseeing day-to-day office tasks, administrative processes, and providing support to various departments within the organization.

Job Responsibilities

  • Managing and responding to emails, phone calls, and other communications in a timely manner.
  • Performing various office tasks such as scanning, mailing documents, distributing mail, and coordinating deliveries.
  • Planning and organizing company events.
  • Greeting and assisting visitors with a welcoming and positive attitude.
  • Managing appointments, travel arrangements, and scheduling for executives.
  • Supporting staff with administrative tasks as needed.
  • Monitoring and ordering supplies.
  • Handling correspondence with vendors and guests.
  • Basic IT tasks such as troubleshooting minor technical issues and coordinating with IT for more complex issues.
  • Managing a track log of company’s equipment, vehicles, and insurance information.
  • Coordinating with building maintenance and repairs when necessary.
  • Setting up workspaces for new hires and assisting in the onboarding process.
  • Handling correspondence, including ordering business cards.
  • Assist in processing invoices, expenses, and purchase orders.
  • Other duties as assigned.

Qualifications and Experience

  • HS Diploma or GED.
  • Proven experience as an Office Administrator, Administrative Assistant, Office Assistant, or similar role/1-3 years’ experience in a similar role.
  • Construction or Renewable Energy experience preferred but not necessary.
  • Proficient in Microsoft Office Suit (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Detail-oriented and capable of managing multiple tasks simultaneously.
  • Adaptability and willingness to take on new challenges.
  • Strong interpersonal skills and ability to work collaboratively.
  • Strong organizational and time-management skills.

Work Location: Hawthorne, NJ

Work Schedule: Monday through Friday, working 25 hours per week
